Project Overview

Rowan Vocational needed a better way to manage a busy warehouse. Its team was relying on spreadsheets, paper records, and manual Kanban processes, which made it difficult to maintain accurate stock information.

We developed a custom warehouse management system that brought inventory, purchase orders, shipments, storage locations, and finished assemblies into one place. Barcode and QR code scanning also gave the warehouse team a faster and more reliable way to record daily activity.

Project Challenges

The biggest task was not simply replacing spreadsheets. We first had to understand how materials moved through the warehouse, how Kanban tubs were handled, and how finished assemblies were connected to individual components.

The new system also had to fit into the existing production process without slowing the team down.

Paper-Based Workflows – Important warehouse information was spread across paper records and Excel files.
Storage Location Tracking – Materials had to be tracked across different zones, racks, and warehouse locations.
Scanning Errors – The system needed to identify incorrect scans and prevent duplicate transactions.
Component Tracking – Finished assemblies had to remain linked to the parts used to build them.
Automatic Stock Updates – Inventory quantities needed to change immediately after receiving, moving, or shipping items.

Project Results

The finished platform gave Rowan Vocational a clearer view of its warehouse operations. Employees could process products more quickly, while administrators gained more control over inventory records and reports.

Manual data entry was reduced, stock information became easier to verify, and materials could be tracked throughout the warehouse in real time.

The platform now serves as the central system for purchase orders, Kanban shipments, warehouse locations, finished assemblies, and inventory activity.

Instead of checking different spreadsheets or paper records, employees can scan products and view updated information from one place. This has made everyday warehouse tasks simpler and easier to manage.

The system was designed around Rowan Vocational’s existing warehouse process. It did not force the team to adopt an unrelated, ready-made workflow.

By combining location management, barcode scanning, Bill of Materials tracking, and real-time inventory updates, the platform supports smoother warehouse operations and more dependable production planning.
